Secretary/Bookkeeper

Qualifications:

  • Must be a member in good standing
  • College graduate or equivalent work-related experience
  • Minimum of five years of experience as an Administrative Assistant
  • Minimum typing 65 WPM with accuracy and transcribing experience
  • Strong computer skills are imperative (MS Windows, Word, Excel, Access, PowerPoint, Outlook, and QuickBooks)
  • Proficiency in the use of standard office tools (typewriter, copy machine, fax, mailing machine, check scanner, etc.)
  • Strong organizational skills
  • Have excellent command of English and Greek composition and punctuation

Purpose of Position:

 Primary function is to oversee all activities of the main church office including secretarial and bookkeeping duties.  This person would report directly to the Priest/Parish Council President/HR Committee.

Status:

  • This is a part time position.
  • Currently at two days per week
  • Working hours 9am – 5pm
  • No health insurance benefits are offered
  • Paid vacation equivalent to two weeks of a normal work week is earned & can be used with prior approval of the HR Committee.

Duties:

 Secretarial Responsibilities:
  • Maintenance and organization of office area.
  • Ordering and maintenance of office supplies and equipment.
  • Ordering church supplies.  Inventory managed by Neochoron.
  • Organization and maintenance of church calendar (and Priest/Parish Council/Church Ministries).
  • Pick up, distribution and dissemination of all mail and correspondence.
  • Screening and routing all incoming calls.
  • Answer mail – correspondence (wring letters), phone calls, etc.
  • Check email and respond.
  • Coordinate scheduling for baby dedications, weddings, baptisms, funerals & memorials.
  • Document all weddings, baptisms & funerals.
  • Type, print, and fold weekly bulletins.
  • Keep accurate membership records (new members, baptisms, weddings, deaths, etc.)
  • Prepare Annual Reports.
  • Schedule and notify Parish Council members and /or community of meetings & General Assembly meetings.
  • Prepare and manage all church mailings and communications.
  • Manage church website, social media and electronic communications.
  • Routine filing of paperwork.
  • Prepare new members information packets and coordinate receptions.
  • Coordinate travel arrangements for the Priest’s speaking engagements.
  • Set up counseling meetings and other appointments.
  • Notify Priest of member hospitalizations, deaths, etc.
  • Prepare, proof, print, and disburse weekly bulletins.
  • Coordinate with the Greek Orthodox Archdiocese.
  • Route incoming faxes appropriately.
  • Maintain and up-date all standard forms and ministry literature.
  • Maintain petty cash with accurate records and receipts.
  • Arrange maintenance of church office equipment
  • Arrange annual inspections & permits of all church equipment
  • Arrange and file all annual permits for church activities including processions & Festivals
  • Assist in special fundraisers of the church in terms of advertising, procurement, payment, ticketing, etc.
  • Prepare and mail Thank You letters as needed.
Bookkeeping Responsibilities:
  • Process weekly payroll
  • Make sure quarterly payroll reports are completed and submitted
  • Pay all incoming invoices within 30 days
  • Assure proper receipting of all income
  • Reconcile receipts weekly
  • Maintain expense and income balances by account and expense line
  • Bank, credit card  and online account reconciliation
  • Journal entries as needed
  • Depositing funds band communicating with banks
  • Calculate annual Archdiocese commitment
  • Work with Greek Afternoon School. DGK School and church ministries to assure adequate account funding & transfer funds as needed with proper authorization
  • Prepare and cooperate with periodic audits, semi-annual reports, annual taxes, etc.
  • Assure GAAP (Generally Accepted Accounting Principles) methodology is being accurately followed
  • Maintain proper paperwork per NYS Employment Laws and any other applicable local laws

  • Should be a self-starter, good at multi-tasking and prioritizing projects.
