Parish Administrator
Scope of Responsibilities
A. Administrative Operations
- Oversee daily office operations and parishioner services
- Coordinate and supervise maintenance of parish calendars, including liturgical services, ministry activities, facility reservations, and major events.
- Ensure preparation and distribution of print and digital communications (see Section D)
- Ensure maintenance and accuracy of all parish records and reporting. Office systems, financial records, filing structure, record keeping, and administrative workflows must remain organized and compliant with parish policies.
- Ensure ongoing review of processes, protocols, and documentation.
B. Financial, Fund Development, and Stewardship Support
- Support multifaceted fund development administration (stewardship, capital, endowment, dedicated, etc.)
- Assist in fundraising efforts, special campaigns, and strategies
- Help manage donor relations and engagement
- Maintain online giving platforms and donor management databases
- Supervise financial administrative staff and support the functions of the Parish Council Treasurer
- Oversee full parish accounting processes, fiscal management and accountability, documentation, and financial reporting.
- Develop, monitor, and manage the annual budget in collaboration with the Parish Council
- Oversee preparation of monthly financial packets for Parish Council
C. Liturgical and Pastoral Support
- Oversee duties and coordination of lay volunteers with clergy and ensure timely preparation of liturgical materials for weekly services, feast days, sacraments, and memorials.
- Ensure timely and proper planning and recording of sacraments (baptisms, weddings, funerals, etc.)
- Serve as administrative liaison between the Parish Priest and parishioners for non-pastoral matters.
- Work closely with the Parish Priest to assign or carry out delegated administrative tasks.
D. Communications and Public Relations
- Ensure ongoing maintenance of the parish website
- Supervise parish communications channels for timely, appropriate content.
- Facilitate smooth communication between departments and ministries.
- Coordinate outgoing communications on behalf of ministries and dedicated major events, ensuring consistency with parish norms.
E. Parishioner Services
- Oversee the processes that help receive visitors and respond to inquiries.
- Provide quality service and support to members as they participate in worship, receive pastoral care, stay informed, and engage in community life.
F. Ministry and Event Coordination
- Provide administrative support to parish ministries: planning (from concept to clean-up), scheduling, communication, and documentation.
- Assist with planning and logistics for major parish events
- Oversee private event bookings and activities: scheduling, use agreements, rentals, caterers, facility support/set-up and turnover, etc.
- Oversee volunteer coordination with ministry leaders and staff. (Recruitment, training, appreciation, etc.)
- Oversee food service functions and support to ministries, compliant with food safety certification requirements
G. Administrative Staff Supervision and Ministerial Staff Collaboration
- Exercise adaptive leadership in supervising the administrative staff, aligning skill sets to needs. Identify when teaching and mentoring is required. Develop staff for optimal delegation and collaboration.
- Convene and participate in administrative meetings as needed.
- Maintain personnel handbook with current policies and procedures and in compliance with labor laws
H. Regulation, Policies and Procedures
- Stay informed on legal and regulatory matters affecting the parish
- Maintain proficiency in Archdiocesan and Metropolis Regulations, Uniform Parish Regulations (UPR), and local Parish Bylaws.
- Serve as the Parish Risk Management Coordinator
- Serve as the Fire Safety Administrator
- Serve as one of the Youth Protection Administrators
I. Facilities Services
- Oversee and collaborate with the Facilities Manager, who is responsible for implementing best practices for care of parish grounds, buildings, furnishings, and equipment.
- Manage the Use of Facilities policy
- Oversee IT and AV systems
Qualifications
Required
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to delegate responsibilities and tasks
- Excellent leadership skills, including conflict resolution
- Ability to maintain confidentiality and handle sensitive information
- Professional demeanor aligned with the hierarchical structure of the Greek Orthodox Church
- BA/BS degree (Finance, Business Administration/Management preferred).
- Strong accounting skills
- 5 years minimum relevant work experience (15 preferred)
- Proficiency with Microsoft Office, Google Workspace, and parish management software
Preferred
- Familiarity with Greek Orthodox Christian liturgical life and parish culture
- Experience in nonprofit or parish administration.
- Greek language skills

Reporting Structure
The Parish Administrator reports directly to the Parish Priest and works in cooperation with the Parish Council Executive Board, staff, and ministry leaders.
