Church Administrator

Position Details

  • Schedule: Monday–Friday, 9:00 am–5:00 pm, with additional evenings, weekends, Holy Week, feast days, and special services as needed.
  • Compensation: Competitive and negotiable.
  • Location: On-site at the church only; no hybrid option.
  • Reports to: Parish Priest and Parish Council.
  • Serves as the Primary Church Contact after the Parish Priest.

Administrative Duties

  • Support the Parish Priest and Parish Council with daily parish operations and administrative projects.
  • Serve as a primary point of contact for parishioners, visitors, vendors, ministry leaders, and service providers.
  • Manage phone calls, emails, correspondence, and office communications in a professional and courteous manner.
  • Maintain parish records, files, documentation, and database systems.
  • Administer the parish calendar and coordinate scheduling for parish activities, appointments, and events.
  • Oversee office supplies, office materials, and parish-related purchasing as needed.
  • Coordinate with vendors, contractors, IT professionals, and service providers.
  • Assist with errands, supply runs, large mailings, and other logistical needs.
  • Manage cash pickups by armored car service and work with accounting and the Treasurer in managing payroll.

Communications and Outreach

  • Create, design, prepare, and distribute newsletters, flyers, parish announcements, and other informational materials.
  • Manage parish website content, social media platforms, and live-stream content.
  • Promote upcoming events, ministries, and parish activities through social media,  digital, and print communications.
  • Help ensure that parish communications reflect the mission, image, and values of the Church.
  • Assist with outreach efforts, informational mailings, and community engagement.

Event and Ministry Coordination

  • Assist in the planning and coordination of parish events, retreats, educational programs, community activities, and special projects.
  • Manage logistics, registrations, communications, and event materials.
  • Support ministry leaders and volunteers in the successful execution of parish programs.
  • Organize and promote youth events, including religious, cultural, and social activities.
  • Maintain the youth ministry event calendar and coordinate youth-related programming.
  • Support and coordinate events such as GOYA/YAL, Jr. Olympics, Church basketball, Oratorical Festival, Fanari, Crossroads, Lighthouse, and activities with other Chicago-area parishes.
  • Lead or assist with youth and children’s ministry programming under the guidance of the Parish Priest.
  • Teach and lead small groups of adults and children as requested.

Facility and Property Responsibilities

  • Coordinate facility maintenance, repair needs, and supply purchasing related to the building and grounds.
  • Oversee hall rentals, room setups, and event-related facility preparation.
  • Support coffee hour logistics, including planning, purchasing, and coordination.
  • Conduct regular walkthroughs of the church, grounds, and parish hall to identify maintenance concerns.
  • Open and close the church for services, appointments, deliveries, and contractor access.
  • Maintain a clean, orderly, and welcoming church and office environment.

Liturgical and Sexton Duties

  • Prepare the church for all services, including weekday Liturgies, funerals, weddings, baptisms, memorials, and special feast day services.
  • Light and extinguish vigil lamps, maintain candle stands, and ensure liturgical items are properly set up and returned after services.
  • Maintain inventory and ordering of candles, wicks, vigil lamps, olive oil, communion wine, and related liturgical supplies.
  • Receive, organize, and prepare Prosphora, Koliva, Artoklasia, and other service-related offerings.
  • Assist clergy during liturgical services and be present before, during, and after services as needed.
  • Attend wedding rehearsals and explain the order of the service to wedding parties.
  • Support Holy Week, Dormition Fast, feast days, and other major liturgical seasons and observances.
  • Install palm branches, remove seat cushions as needed, prepare service books, and assist with special liturgical preparations.
  • Clean liturgical vessels and related items as directed by clergy.
  • Maintain reverence and proper care of sacred spaces at all times.
  • Be a practicing Orthodox Christian with familiarity with Orthodox liturgical practices.

Qualifications and Skills

  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and other computer programs.
  • Strong organizational, multitasking, and problem-solving skills.
  • Excellent written and verbal communication skills, professional etiquette, and phone skills.
  • Experience in administration, customer service, event planning, ministry support, or facility coordination preferred.
  • Ability to work independently, take initiative, and manage multiple priorities under time constraints.
  • Sensitivity to Orthodox Christian hierarchy, traditions, cultural conditions, and church protocols.
  • Ability to teach and lead groups of both adults and children.
  • Valid driver’s license.
  • Physically able to perform light maintenance, cleaning, setup, and related tasks.
