Part-time Office Assistant

The Parish Council has begun a search for a part-time office assistant to work in the office and perform administrative functions in alignment with the needs of the parish and assist with delegated, day-to-day church responsibilities under the supervision and oversight of the Office Manager and Parish Priest.

Administrative support 

  •  Responds to requests for information and resources via email, telephone, and in-person visits. Sorts incoming mail and prepares and sends outbound mail, including weekly accounts payable checks and large-scale parish mailings as the arise 
  • Provides administrative support to the Office Manager, Priests, Parish Council, and Ministries including preparing documents, making copies, updating ministry, liturgical, and sacramental calendars, etc. 
  • Assists the Office Manager with other assigned tasks, such as database maintenance, stewardship reporting, reconciliations, financial report preparation, etc. 
  • Informs the Office Manager of any facility issues 
  • Assists the Office Manager with facilities-related needs, including ordering occupancy and liturgical supplies, etc. Maintain the confidentiality of sensitive Church and Parishioner information including financial, family, and personal information, etc. 

Communication Support 

  • Collaborates with the Office Manager to prepare and distribute communication materials including the parish monthly newsletter
  • Helps ensure that bulletin boards are updated regularly to reflect current events and activities

Ecclesiastical Support 

  • Assists with preparing and proofing bulletins and worship materials for Sunday morning Divine Liturgies and other services 

Volunteer Support 

  • Assist with coordination of special events
  • Assist with coordinating and scheduling of volunteers as requested by the Office Manager, Priest, Parish Council, and Ministry Leader

Knowledge, Skills, and Abilities  

  • Projects a welcoming presence and genuinely enjoys helping others
  • Is self-motivated, punctual, reliable, conscientious, and flexible
  • Communicates well and has strong writing and grammar skills, ideal for proofreading
  • Possesses excellent administrative and organizational skills
  • Utilizes Microsoft Office (Outlook, Word, Excel, PowerPoint, Publisher), QuickBooks and other job-related applications effectively
  • Demonstrates a working knowledge of bookkeeping skills 

Qualifications 

  • High School graduate
  • Prefer 2-3 years of administrative work experience
  • Must pass background investigation to comply with church requirements
  • Must comply with Youth Safety Platform requirements
  • Ability to work independently, self-start and problem-solve
  • Excellent verbal and written communication skills
  • Working knowledge of the Orthodox faith, sacraments, and liturgical calendar (preferred)
