Development Associate / Data Entry Specialist

Reports to: Advancement Operations Manager

Position Summary:

The Development  Associate / Data Entry Specialist is a key member of the HCHC Institutional Advancement team. This full-time, on-campus position is responsible for maintaining the integrity and efficiency of donor data through Blackbaud Raiser's Edge NXT (RENXT), ensuring timely and accurate data entry, gift processing, reporting, and acknowledgment. The Development Associate supports the advancement team's fundraising, stewardship, and reporting activities by providing excellent data management and administrative support.

Essential Duties and Responsibilities:

Data Entry and Gift Processing

  • Accurately enter all constituent information, donor gifts, and pledges into Blackbaud Raiser's Edge NXT.
  • Prepare and generate all donor thank you letters & tax acknowledgments on a daily basis.
  • Determine and flag the need for special, customized thank-you letters
  • Perform mail merges in RENXT with Microsoft Word.
  • Monitor and categorize gifts to ensure timely and correct coding for campaigns, funds, and appeals.
  • Execute timely scanning, recording, and internal reporting of all gifts received.
  • Track and process matching gifts, memorial gifts, and tribute acknowledgments.
  • Perform related duties as assigned by the Operations Manager.

Data Management and Reporting

  • Maintain and regularly update donor records, contact information, and giving histories in RENXT.
  • Design, run, and maintain queries, exports, and reports for internal analysis, mailings, and donor stewardship.
  • Generate routine and custom reports to support fundraising strategies, financial reconciliation, and campaign analysis.
  • Support reconciliation processes between Advancement and Finance for the processing of donations and ensuring accurate financial reporting for daily and monthly reports.
  • Identify and flag data integrity issues and proactively correct errors in RENXT.

Acknowledgment and Stewardship Support

  • Work closely daily with the advancement Operations Manager to facilitate the prompt and accurate sending of thank-you letters based on donor segmentation and giving levels.
  • Support stewardship activities by preparing call lists, recognition lists, and follow-up reminders.
  • Coordinate with Advancement staff to ensure acknowledgment and stewardship practices align with best practices and timelines.

Office Support

  • Assist with special mailings, campaign tracking, and donor recognition events as needed.
  • Respond courteously and professionally to donor inquiries via phone or email.
  • Participate in meetings and school events/activities as directed.

Required Qualifications:

  • Minimum of 2 years of professional experience in nonprofit development operations, with a strong focus on data entry and database management.
  • Extensive and up-to-date experience with Blackbaud Raiser's Edge NXT (RENXT) required, including data entry, query building, exports, mail merges, and reporting.
  • High level of proficiency with Microsoft Office Suite and Google Workspace (Gmail, Google Docs, Google Sheets)
  • Excellent organizational skills, attention to detail, and commitment to data accuracy.
  • Strong written and verbal communication skills.
  • Effectively collaborates and demonstrates leadership to manage multiple priorities in a fast-paced, team-oriented environment.
  • Professionalism, integrity, and respect for donor confidentiality.

Preferred Qualifications:

  • Bachelor's degree preferred but not required if accompanied by strong relevant experience.
  • Familiarity with donor acknowledgment best practices, fundraising operations, and stewardship workflows.
  • Experience with reconciliation processes between Advancement and Finance is a plus.
