Job Description: Church Administrator/Administrative Assistant

 Saint Barnabas Orthodox Church began in the mid-1970s as an Orange County home fellowship. Over one hundred such fellowships countrywide were formed by men who left Campus Crusade for Christ in search of a model of the early New Testament church.

As these men studied early church history and the writings of the Church Fathers, they found the historical New Testament church of the first millennium still existed today in the Eastern Orthodox Church. Thus began a ten-year quest to become identified with Eastern Orthodoxy while growing from small fellowships into larger churches. In 1987, their search for the timeless and unchanging truth of God culminated in the historical reception of Saint Barnabas Orthodox Church, along with sixteen other parishes numbering more than two thousand people, into the canonical Orthodox Church by way of the Antiochian Patriarchate. Since then, we have grown in the Faith, children have become adults, parents have become grandparents and seven men from our Parish have become priests.  

Qualification, Skills and Abilities

•    Excellent communication, interpersonal, analytic, and organizational skills

•    Demonstrated problem solving and troubleshooting skills, and ability to multitask on competing priorities.

•    Self-motivated and able to work independently and within a team, including managing volunteers.

•    Maintains a high level of confidentiality, handling information with discretion, diplomacy, and integrity. 

•    Exhibits personal and professional discernment and discretion. 

•    Knowledge and experience working with office software (word processing, spreadsheets), database management, and church-specific software.

•    Comfortable learning and navigating new communication and management platforms.

 

Job Duties

Church Administrator

•    Communication

•    Triage all incoming mail, general email, foot traffic with professionalism and hospitality.

•    Weekly parish informational email

•    Weekly Sunday bulletin

•    Ownership of the Master Calendar

•    First point of contact for scheduling of Sacraments of Baptism, Matrimony, and Funeral/Burial

•    Oversight of all event scheduling by ministries

•    Ownership of outward facing communications: website, social media, etc.

•    Financial

•    Essential member of the church finance team

•    Manage accounts payable and receivable

•    Maintain financial records

•    Weekly tithe and donation deposits

•    Assist in monitoring the church budget

    Administrative:

•    Ensure printers are functional and office supplies stocked

•    Maintain accurate and confidential church records, including membership databases

•    Ensure Archdiocesan and Parish level documentation is prepared for all Baptisms, Weddings, and Funerals

•    Facilities

•    Coordinate with vendors and maintenance staff to ensure the church and its grounds are well-maintained and secure

•    Maintain church key box and key assignments

•    Event and volunteer coordination

•    Event planning: Help organize and plan church events, including liturgical feasts, fundraisers, social gatherings, and other parish programs.

•    Volunteer support: Assist in recruiting, scheduling, and supporting church volunteers.

•    Liturgical Administration

•    Sacramental preparation: Provide administrative support for the logistics of special services like weddings and baptisms.

•    Supply order

•    Vestment dry-cleaning

Administrative Assistant Role

•    Email Management

•    Calendar Management

•    Organize conference attendance and travel

Preferred Qualifications

•    Practicing Orthodox Christian in good standing with the Church, with a demonstrated commitment to Orthodox Christian teachings and values.

•    Familiarity with Orthodox liturgical life, terminology, and Orthodox parish culture.

•    Experience working or volunteering in a church, non-profit, or ministry setting.

Physical Requirements

•    Ability to sit for extended periods at a desk.

•    Occasional lifting of up to 25 lbs. for event setup or office supplies.
