Office Administrator

Job Summary:

The office administrator is responsible for overseeing the daily operations of the church office and ensuring that all administrative tasks are completed in a smooth and efficient manner to enable the church to achieve its mission. The primary functions of the position include office operations, communications, records management, vendor management, administrative support and event management. The office administrator works closely with the priest and the parish council as well as the parishioners to provide support and assistance in various areas of church life. The office administrator also manages the church's calendar and liturgical communications. The ideal candidate will have excellent communication, problem solving and time management skills, as well as strong attention to detail and a willingness to learn and take on new tasks.

Duties Include (but are not limited to):

  • Office and Administrative Support: Serve as the main point of contact for people calling the office, manage daily office operations, manage inventory of religious and non-religious items and office supplies, assisting in coordinating communications, and scheduling ministry event spaces.Handle incoming phone calls, emails, and correspondence. Primary point of contact for all outside vendors. Manage all phases of church hall rentals.  
  • Parish Clergy Support: Work with Parish Priest to determine and manage documents, scheduling, compiling and preparing weekly bulletins and other material needed for liturgical and sacramental services.
  • Calendar and Event Space Management: Manages all phases of Church hall rentals.  Work with Ministry leads, Parishioner volunteers and others to schedule dates and ensure space availability.  Communicate with Facilities manager to ensure event spaces are available and properly set up. Oversee preventive property maintenance, repairs, and renovation projects.
  • Financial/Bookkeeping Support: Assist our Treasurer with making and recording deposits, recording transactions for review by Treasurer, and maintaining accurate stewardship records using (PDS) and generating necessary reports.
  • Parish Council Support: Assist in parish mail-outs for general assemblies, and other communications, as needed.


  • An Orthodox person who is fluent in English, (fluency in Greek is not required but would be a welcome addition).  Capable of excellent written and verbal communication.
  • Professional commitment to a strict and high-level of confidentiality in all matters.
  • Working knowledge of the Orthodox faith, sacraments, and liturgical calendar
  • Proficient in Microsoft Office.  Knowledge of Quickbooks and Parish Data System (“PDS”) would be preferred, but are willing to offer training on these programs.  
  • Highly organized, attentive to details, and possess a professional demeanor.
  • A proactive person who will look for ways to increase efficiency, and offer recommendations to improve the smooth running of the office.
  • Successful completion of background check.
  • Must sign Non-Disclosure Agreement and Code of Conduct
