Administrative Assistant for Learning Support and Extended Day
Annunciation Orthodox School (AOS) seeks a detail-oriented, flexible, and collaborative individual to serve as a shared Administrative Assistant for two separate departments within the school. The person in this role will play a vital role in the community by supporting the functions of the Learning Support and Extended Day Departments through parent communications, scheduling, and a myriad of other responsibilities. Reports to: Learning Specialist and Director of Extended Day
Status: Salaried/Exempt
Start Date: May 1, 2023
Work Schedule: Monday-Friday, 8:00am-4:00pm (potential for these hours to be adjusted, which will be discussed during the interview process)
Responsibilities:
- Promote the school’s mission, making it the center of all decisions and actions
- Provide consistent, confidential, and professional support to the Extended Day and Learning Specialist Offices
- Establish strong, meaningful relationships with members of the internal and external community
- Act as the primary contact for all Extended Day parent communications and convey information as necessary to faculty and staff
- Facilitate Extended Day schedule changes as requested by families
- Assist in processing HR background checks for all vendor instructors and outside professionals
- Create therapists’ schedules in collaboration with our outside professionals and each student’s availability
- Compile therapy and Extended Day schedules and communicate these to faculty
- Update student support profiles in the digital data management system
- Manage the Learning Specialist’s calendar by scheduling meetings and calls between parents, outside professionals, and the Learning Specialist
- Assist in the planning and implementation of the ERB, ISEE, & WPPSI standardized testing
- Organize results and manage data from learning support testing
- Perform various additional duties as assigned by the Learning Specialist and the Director of Extended Day
Qualifications:
- Bachelor’s Degree
- Experience as an assistant to a school administrator or corporate executive
- Outstanding interpersonal skills and a heart for service
- Dedication to a high level of confidentiality
- Exceptionally strong written and oral communication skills
- Excellent organizational skills with an orientation to detail
- Technological savviness: working knowledge of Google Suite, willingness to learn two additional data management systems
- Experience working collaboratively on a goal-oriented team
- Ability to take initiative and prioritize tasks
- Ability to work in a busy, fast-paced environment while maintaining a positive attitude
