Executive Assistant Metropolis of Chicago

The Organization

Tracing its roots back to 1923, the Greek Orthodox Metropolis of Chicago is the diocese of the Greek Orthodox faithful in Illinois, Iowa, Minnesota, and Wisconsin, as well as northern Indiana and southeastern Missouri, consisting of 58 parishes and two monastic communities. The Metropolis is one of nine Metropolises in the Greek Orthodox Archdiocese of America and is presided over by His Eminence Metropolitan Nathanael.

We are seeking an Executive Assistant to provide administrative and personal support to a member of our leadership team. The ideal candidate is highly organized and self-directed. They are able to balance operational excellence with an exceptional work ethic. This opportunity requires the maturity, drive, and skill set for serving a C-Suite executive. This position requires a confident, professional presence, a dignified demeanor, and an inquisitive mind. The ideal Executive Assistant possesses an assertive yet engaging disposition to concurrently get things done and strengthen relationships. Assured communication with the ability to listen, observe, and respond in a professional manner.

Candidates must demonstrate

  • The capacity to anticipate needs and ensure seamless scheduling, planning, and preparation for meetings and events.
  • The ability and desire to work in a fast paced, deadline-driven environment requiring flexibility and problem-solving skills.
  • The ability to work flexible hours and to increase hours to full-time if needed.
  • Exceptional communications skills – speak, listen, write, and respond with clarity, intention, and effect
  • Excellent written communication skills; ability to compose well-written emails, thank you letters and general correspondence

Responsibilities include, but are not limited to

  • Manage the day-to-day operations of the leadership calendar – both business and personal
  • Maintain a daily log of calls, emails, correspondence, meetings, and activities
  • Manage phone, email and text communication – triaging, qualifying, and responding if appropriate
  • Discern between urgent and important issues
  • Serve as a gatekeeper to prioritize access to leadership
  • Manage travel and meeting schedule including travel itinerary and booking arrangements
  • Complete expense reports in a timely and discreet manner
  • Execute multiple projects concurrently with an exacting attention to detail
  • Manage events/appearances – scheduling, material preparation, contact connections
  • Arrange staff meetings and conference calls including agenda preparation and minutes
  • Prepare/edit/proofread reports/PowerPoint presentations
  • Establish and maintain an accurate record and filing system

Skills and Requirements

  • Minimum of 10years of professional experience working with C-Level executive
  • Bachelor’s Degree
  • Confident and respectful communication style

Assurance to interact with hierarchs, religious leaders, and interfaith groups

  • A proactive attitude to anticipate needs
  • A steady disposition – not easily upset or affected by critique
  • Ability to maintain a calm demeanor under pressure
  • A pleasant, professional, service-oriented presence
  • Strong decision making and analytical abilities
  • Ability to discern when assertiveness or deference are required
  • Technical expertise and mastery of Microsoft Office 365
  • Social media savvy
  • An aptitude for technological advancement and early adaptation
  • Exceptional interpersonal skills
  • Ability to contribute to a collaborative working environment
