About CrossRoad:  CrossRoad is an engaging summer institute for Orthodox Christian high school juniors and seniors sponsored by the Office of Vocation & Ministry at Hellenic College. CrossRoad offers three ten-day sessions, the first two sessions take place on the campus of Hellenic College Holy Cross Greek Orthodox School of Theology in Brookline, Massachusetts, and the third session takes place on the campus of North Park University in Chicago, Illinois.


The Office of Vocation and Ministry (OVM) and CrossRoad Summer Institute at Hellenic College seeks to hire someone who would enjoy being a part of our fast-paced, organized, and technologically-oriented office before and during the third session of CrossRoad in Chicago (June 1 – August 3, 2019). The OVM/CrossRoad is comprised of a small, dynamic team dedicated to fulfilling its mission to train, educate and inspire the next generation of leaders for the Orthodox Church.  During the summer, the Regional Coordinator would serve as a backbone to the CrossRoad program for the third session in Chicago, executing and managing all logistical and administrative tasks to make sure the program runs smoothly.  When time permits, they will also have the opportunity to sit in on some of the classes/sessions during the CrossRoad program, to develop their theological knowledge.

Through this position the Regional Coordinator will gain experience in project management, event coordination, and task management and will gain first-hand experience as to the inner workings of a vibrant ministry in the Orthodox Church.

Job Requirements

Office of Vocation & Ministry/CrossRoad Summer Institute (Chicago Session)

·      Execute and manage the logistics of CrossRoad Chicago (CRC), under the direction of the CrossRoad Expansion Coordinator, including but not limited to:

o   Maintain communication with guest speakers/professors, arrange any necessary housing for them, and communicate and confirm all details to them

o   Schedule outings

o   Schedule church visits

o   Schedule all bus transportation to and from outings and to and from airports

o   Arrange and manage all catered meals

o   Accompany group on outings to assist when necessary, as determined by CrossRoad Director

·      Manage and execute all administrative preparation for CRC

o   Update, photocopy, and distribute program materials

o   Manage and maintain files and database for CrossRoad participants

o   Purchase needed supplies and snacks

·      Communicate regularly and confirm all details with North Park University

·      Establish and maintain contact with OVM staff, business partners, various clergy members, and other close associates of the program as needed or assigned

·      Manage the finances of CRC:

o   Track all expenses

o   Maintain petty-cash log

o   Coordinate payment for all meals, outings, transportation, and miscellaneous items

o   Gather W9’s from guest speakers and communicate all stipend/honorarium requests to CR Director

·      Maintain organization and perform daily operations during the CrossRoad program

·      Adhere to all CrossRoad program policies

·      Other duties and tasks as needed 


Skills and attributes

·      Excellent organizational skills (including computer file organization)

·      Excellent knowledge of the internet and how to utilize it in organizing and planning events

·      Ability to product search and compare online

·      Friendly and competent phone manners

·      Good rapport with teenagers and college students

·      Team-oriented approach to program planning and implementation

·      Flexibility and adaptability in planning and carrying out program events

·      Ability to produce and manage task list

·      Familiarity with and appreciation for the mission and vision of the OVM and CrossRoad

·      Strong command of grammatical English 

·      Ability to work well under pressure


Experience required

·      Strong knowledge of all MS Office Programs – in particular, Word and Excel

·      Knowledge of website updating strongly preferred

·      Familiarity with Gmail and other Google applications

·      Photo/File uploading

·      Editing


Dates/Hours: Approximately 15 hours a week the month of June, 30 hours a week in July, and 20 hrs. of post CRC wrap up tasks. Flexibility required when the 30 hours take place during the CrossRoad session (July 23- August 2, 2019).


Office Location:

  • From June 1-July 16 the Regional Coordinator will be working out of the CRC office at SS. Peter & Paul in Glenview, IL but will have the option of working many of those hours (particularly the hours in June) remotely as they desire
  • From July 17-August 2 – Regional Coordinator will work out of an office space on North Park’s campus with the CrossRoad Chicago staff 
  • Regional Coordinator will complete the wrap up tasks by August 9th and can complete this work remotely or in the CRC office at SS. Peter & Paul


Housing Information:

  • Before July 17 – Regional Coordinator must arrange own housing
  • From July 17-August 2 – Regional Coordinator will have housing on North Park’s campus, covered by CrossRoad


Rate: Commensurate with experience
