Job Summary:



The Executive Assistant works with the CFO and Finance staff on day-to-day administative functions. The incumbent will possess strong administrative skills, communication skills, and the capability to work on a variety of projects at any given time. Being well organized, detail oriented, flexible and enjoy the challenges of working with a variety of situations and circumstances are keys to success. 

Job Requirements

Key Responsibilities:

  • Manage the CFO’s calendar on a day-to-day basis, keeping the CFO current regarding changes and additions.
  • Screen phone calls, provide timely response to heavy email flow, schedule appointments, arrange meetings and teleconferences, and coordinate events.
  • Organize powerpoint presentations; compose meeting minutes, reports, spreadsheets, company and personnel announcements, and correspondence.
  • Track financial statistics and metrics, and generate graphs and reports from this data.
  • Assist the CFO with additional reporting requirements, create spreadsheets, and track data from management team members.
  • Prepare routine and special correspondence including letters and memoranda.
  • Answer CFO’s phone calls and messages and process accordingly.
  • Develop and maintain Finance FY Calendar of Events.
  • Prepare materials for operational reports and presentations to senior management and Trustees
  • Support Finance, Registrar, Financial Aid, Admissions, Bursar, and HR staff as needed with special projects and deadline assistance
  • Research, report findings and suggest recommendations on any variety of topics relative to higher education processes, policies, regulations, et al.
  • Serve as key contact and administrator for a variety of reporting requirements from school accrediting institutes and federal and state governing boards.
  • Maintain the accuracy and completeness of various operational databases
  • Monitor the timely execution and proper management of a variety of intra-department projects via project management software, (BaseCamp preferred)
  • Supervise the Administration Receptionist
  • Other duties as assigned


Education & Experience:

  • 5-8 years applicable administrative experience; Bachelor’s degree in related field preferred, or applicable experience in lieu of degree
  • Proficient in MS Office Suite (Excel, Word, and Power Point) required
  • Concise grammatical skills, and excellent oral and written communication skills
  • Excellent proofreading skills
  • Ability to work in a confidential manner, ensuring that information is only shared with internal and external contacts in an appropriate manner
  • Creativity, flexibility, and strong organization skills required; Demonstrated multi-tasking ability
  • Strong initiative and ability to work independently; Deadline oriented and accountable
  • Proactive approach to problem solving; forward thinking
  • Punctual, reliable, and excellent customer service skills; Must be a team player
